1. Current status

Tupolis does not currently provide an integrated AI assistant. This statement describes safeguards intended for future AI functionality and must be reviewed before any AI feature launches.

2. Intended purpose

Initial AI functionality is expected primarily to help users navigate Tupolis, discover relevant resources, receive appropriate signposting and, where implemented, create an administrative support request.

3. AI identity and accuracy

AI must be clearly identified as AI. It may make mistakes, misunderstand context or provide incomplete/outdated information. Users should not treat AI output as guaranteed fact.

4. Personalisation and memory

Recommendations may use the user's current question, available programmes/resources and limited relevant context. The current intention is not to provide an extensive long-term personal memory, journal or emotional companion. Persistent memory or substantial profiling requires a fresh review.

5. Sensitive information

Users should avoid providing unnecessary sensitive or third-party information. AI should receive only the information needed for the feature being used.

6. Provider and data use

The future provider has not yet been selected. Before launch People Building must review provider terms, security, data use, retention, processing locations and training settings. Personal Tupolis information must not be supplied for general-purpose model training merely because an AI feature is enabled.

7. Not professional or emergency advice

AI is not a doctor, therapist, counsellor, psychologist, psychiatrist, lawyer, financial adviser, safeguarding officer or emergency service.

8. Safety messages and human contact

Future AI may recognise some concerning language and provide safety signposting or generate an administrative notification. Detection and delivery may fail. Users must never be told that a human has seen a message unless that is actually known.

People Building is not continuously monitored. Normal admin hours are Monday to Thursday, 9:00am to 6:00pm UK time, excluding public holidays and notified closures.

9. Children

Child AI access requires additional age-appropriate privacy, safeguarding, crisis, dependency and human-oversight controls. AI must not present itself as a child's human friend, therapist or substitute parent.

10. Automated decisions

No significant solely automated decision-making is currently planned. Any future significant automated decision requires separate review and appropriate safeguards.
